Organizational names

As a contractor, you'll likely come across several different names when referring to Hope Channel. Here's a quick breakdown so you know exactly which entity you're working with and who your content is serving.

HCI

Hope Channel International

The official coordinating body for Hope Channel's global visual media network. Use this name when referring to organizational structure, leadership, and activities led directly by HCI.

"Hope Channel International provides strategic direction and resources to the entire Hope Channel Network."

HC

Hope Channel

The brand name. Use it when referring to Hope Channel's global presence and mission — not when describing internal or administrative functions.

"Hope Channel delivers Christ-centered content to inspire hope and transform lives around the world."

HC Network

Hope Channel Network

The full network of locally and regionally licensed channels and media entities around the world.

"The Hope Channel Network consists of over 80 media entities producing content in more than 100 languages."

Global Feed

Hope Channel International Global Feed

A broadcast service run by HCI that gives new or developing network channels a ready-to-air programming feed while they build out their own local content.

"The HC International Global Feed is one of many services HCI provides to the Hope Channel Network."

Following these guidelines will help make sure your invoice gets processed without delays.

What to include on your invoice

Business name & logo

Include your business name and logo if you have one.

Contact information

Full name, address, phone number, and email address.

Invoice number & date

Use a sequential numbering system. The date should reflect when you issued the invoice.

Contract number

Your HCI contract ID number — you'll receive this when you sign your contract.

Project description & line items

Give a brief overview of the project, then list each service separately with a clear description, quantity (if applicable), and your agreed rate.

Subtotal & total amount

Add up all line items for the total. If paying by ACH or wire transfer, include your banking details. If you update the invoice after submission, note the date of the change.

W-9

Include a W-9 with your first invoice of the calendar year, or any time your address changes. Download W-9 form ↗

Contracts & onboarding

I have made preliminary agreements on my contract. What are the next steps?

Once preliminary agreements are in place, we'll draft a formal contract for legal review and then send it to you to sign.

Who do I reach out to if I have questions about my contract terms?

Your point of contact is the best person to answer any questions about your contract terms.

Payments

How do I get paid?

Once your work is complete, submit your invoice along with any supporting documents using the Submit Invoice button in the invoicing section above.

When will I receive my payment after submitting the invoice?

Most payments are processed within 30 days of invoice receipt, unless your contract specifies otherwise.

What is the payment cycle — weekly, biweekly, or monthly?

We process payments daily, Monday through Thursday, in the order they're received. Invoices submitted after 3 p.m. on Thursday will be picked up the following Monday.

Is there a deadline each month to submit my invoice in order to be paid on time?

There's no hard monthly deadline, but payments are processed Monday through Thursday in the order received. To avoid delays, submit before 3 p.m. on Thursday — anything after that will roll to the following Monday.

Who do I contact if my payment is delayed?

Get in touch with your primary point of contact and the project lead right away. You can also reach us at contracts@hopetv.org.

Can I submit invoices in a currency other than USD?

Yes, but we strongly prefer invoices in US dollars whenever possible.

What should I do if my bank details change after I've already submitted an invoice?

Let your point of contact know right away, and also send an update to contracts@hopetv.org so we can make sure your records are current.

What format should I send the invoice in?

PDF only, please.

Are there any additional items I need to include with my invoice?

Yes — if your project has deliverables, attach them or include a link so everything is in one place for review.

What happens if my invoice has an error or is missing information?

Contact your point of contact right away. They'll help get it sorted out quickly.

How do I know if my invoice was received and approved?

You'll get an automated confirmation email as soon as your invoice is received.

Do I need to submit a new invoice for each deliverable or per month?

That depends on what's outlined in your contract. Review your payment schedule carefully — it will specify whether to invoice per deliverable, per milestone, or on a monthly basis.

Projects & communication

How often should I check in, and what communication channels will be used?

Your point of contact and project lead will set the communication cadence based on the project. In general, you can expect a check-in before work begins, a few touchpoints as the project moves forward, and another during the review stage.
